Fees will apply for AV equipment that requires set-up and/or an operator. (Current fees will be reduced by 75%or more). New reduced AV rates will include staff coverage if needed. New AV rate structure will be attached. For Spring Semester 2012, no AV charges will be assessed to campus groups, except those involving non-university participants and/or those events where a participation or registration fee was charged by the sponsoring university department or group.
University departments will not be charged any room rent for usage (regardless of number of rooms) if the event is open without charge to other members of the University community or university guests. The event must be approved by the appropriate department chairperson or director and applicable dean or vice chancellor as a legitimate university event in accordance with the mission and purpose of the sponsoring department. The free use of rooms acknowledges the continuing support of the University in covering the utilities and physical plant routine maintenance on the facility.
The facility name has been approved to be the Broyhill Events Center. It maintains valuable name recognition for marketing to on-campus groups, it preserves the integrity of the Broyhill family legacy as it is associated with this building, and it much more accurately denotes the facility's new purpose and function.
The normal schedule will be Tuesday through Friday, 9am to 4pm while the classes are in session during the Fall Semester. The BEC will not be available for meetings/events during University breaks and holidays (with some limited exceptions) since it will be largely staffed with students. We will accept reservations for other times during the week and weekends for meetings and events outside the normal operating schedule.
No Smoking within 50 feet of the facility - 1 approved area in the rear of the building has been designated for smoking:

Smoking is prohibited in and within 50 feet of all Appalachian State University facilities. North Carolina law (NCGS143-597) enacted July 1, 2007 allows universities to regulate smoking at properties owned or leased by a state university.
"The health risks associated with smoking and second-hand smoke exposure are well documented," said Chancellor Kenneth E. Peacock. "This policy allows us to maintain a safe and healthy working and learning environment for our students, employees and visitors."
Ashtrays and smoking receptacles are removed from building entrances and are relocated to the approved areas around the perimeter of the facility. The restrictions apply to students, university employees and visitors, and contractors working on campus.
Staffing fees will not apply for additional student Event Staff who are needed to set-up, manage, or clean-up the event beyond the two students who work the regular 32 hour work week, unless the event includes non-university participants and/or those events where a participation or registration fee is charged by the sponsoring university department or group. Event Staff and AV staff billing will be at a rate of $10 per hour per staff member.
AV equipment fees (reduced by 75+%) and event staffing fees (reduced from $16 to $10 per staff/per hour) acknowledge the continuing support by the University for utilities and physical plant maintenance.
- When a University department is hosting a conference, meeting or event that includes non-university participants and registration or participation fees are being charged to the participants, the new lower room rent fee charges will apply to the first and all rooms needed for the event, and Event Staff (if needed) will also be billed at $10 per staff/per hour. .
- When a recognized student organization reserves a space for a social event in which live entertainment (band or DJ) is performing, and/or alcohol will be sold, served, or brown-bagged, the new reduced room rent fees and Event Staff fees will apply. (This is consistent with the same type events sponsored by student organizations at Legends or the PSU.) Recognized student organizations will not be charged room rents for meeting space, or for non-alcohol events where there is no admission charge. Event Staff fees will not apply for meetings outside the normal operating schedule.
